JEDDAH CHAPTER COORDINATOR

Job Brief

The Jeddah Chapter Coordinator provides event and logistical support to the American Chamber of Commerce Saudi Arabia’s Jeddah Chapter. The role reports directly to the Jeddah Chapter Director and coordinates with the other executive team members including the Director of Finance, Director of Member Relations & Partnerships and Director of Communications & Marketing and Director of Committees, Programs & Event Execution. Physical presence in Jeddah, Saudi Arabia is required for the role. The Jeddah Chapter Coordinator liaises with the other chapters in the organization in Riyadh and in Eastern Province as applicable. As the Jeddah Chapter Coordinator, this role also coordinates meetings of the Jeddah Chapter’s Board of Directors.

  • Primary point of contact for arranging and supporting chapter events and projects

  • Primary point of contact with hosting venues including hotels, compounds, and partner locations

  • Primary point of contact for organizing and scheduling events and activities (internal and external)

  • Primary point of contact for event sponsors and partners

  • Primary point of contact for creating and communicating with external entities to design AmCham Saudi Arabia’s “Reward Program”

Responsibilities

  • Support Jeddah Chapter Engagement Director with organizing and coordinating all events and meetings.

  • Coordinate Board of Directors meeting locations, format, and schedules and send call-to-meeting, and distribute agenda and all supporting materials.

  • Coordinate all General Membership and Sector Committee Events including:

    • General Membership, Executive, Business Networking and Socials

    • Social & Sponsored Events Chair with the planning (including Golf Tournament)

    • Assist all Sector Committee Chairs with facilitating sector roundtable discussions.

  • Attend and support set-up, event registration and event follow-up for all general membership events.

  • Manage event registration and check in CRM [Glue-Up] including coordinating with Director of Communications & Marketing for invitation design.

  • Coordinate with Director of Finance re: event budgets, pricing and confirming all funds collected and vendors have submitted invoicing.

  • Coordinate with chapter on roles and responsibilities during the event to ensure sufficient coverage and participation.

  • Responsible for Jeddah Chapter Shared Event Calendar

  • Generate and update the event and program document on shared drive

Qualifications

  • Native Arabic speaker is a plus.

  • Excellent command of written English.

  • Knowledge of Google Workspace – G Suite, CRM software (GlueUp)

  • Familiarity with social media platforms: LinkedIn, Twitter, Instagram

  • Strong communication skills, written and verbal.

  • Basic stakeholder management expertise, including influencing senior stakeholders.

  • An interest in American business, commerce, relationships and projects in Saudi Arabia and the Middle East region.

  • Team player, adaptable and flexible with changing requirements
